Privacy Collection Notice (Recruitment Activities)

The Australian Prudential Regulation Authority (APRA) collects personal information, which may include sensitive information, to assess your application and suitability for employment and on board you should you be successful.

This Privacy Collection Notice is APRA’s notice under Australian Privacy Principle (APP) 5 regarding the collection and use of personal information during the course of APRA’s recruitment and on-boarding activities. For additional information about APRA’s general personal information handling practices, please refer to the Privacy Policy.

The Privacy Collection Notice contains information about how APRA handles the personal information that is collected as part of APRA’s recruitment and on-boarding activities and sets out how such personal information can be accessed and corrected. This Privacy Collection Notice also contains information on the storage and security of such personal information and how to contact APRA, including how to make a complaint if it is believed that APRA may have interfered with an individual’s privacy.

Personal information which is collected by APRA for the purposes of recruitment and on-boarding activities

The personal information which APRA collects for the purposes of recruitment and on-boarding activities includes:

  • Personal identification information including full name and date of birth
  • Contact information including phone numbers, addresses and email addresses
  • Resume information including current and former employment information including an individual’s position title, name of their employer and salary information
  • Information from referees
  • Information from the results of psychological assessments and probity checks

We will only use your information for the purpose of assessing your application for employment within APRA in the role(s) for which you have applied and retain your information for consideration in respect of future employment opportunities within APRA that you may be suitable for. If you choose to provide optional information about your gender, ethnicity, race, sexual orientation or disability status, APRA will use it to perform functions associated with APRA’s Inclusion and Diversity Strategy.

If your application is successful, this information will be transferred across to our internal systems including HR, Payroll and Security.

How APRA collects personal information for the purposes of recruitment and on-boarding activities

Most of your personal information will be collected directly from you however APRA will also collect your personal information from other sources, including security vetting agencies, referees, and third parties that provide identity checking services and educational institutions. 
APRA may also collect information from public sources such as social media platforms.

Disclosure of your personal information collected for the purposes of recruitment and on-boarding activities to other entities, bodies or persons

In connection with processing your application and on-boarding, APRA may disclose personal information to other Australian bodies or persons including to:

  • Xref Limited who will facilitate referee reports;
  • APRA staff members and agents (including recruitment and relocation agencies);
  • the Australian Government Security Vetting Agency (AGSVA);
  • the Australian Federal Police (AFP);
  • the Australian Criminal Intelligence Commission (ACIC);
  • Cited, a tool provided by Kinatico Ltd, for identity verification and criminal history checks;
  • Criteria Australia Pty Ltd and its related bodies corporate, who provide psychometric testing services;
  • Amberjack Global Pty Ltd for applicants to our Graduate Program to facilitate assessments and interviews; and

APRA may disclose personal information to overseas entities, bodies or persons including to:

  • Hogan Assessments, tools provided by Peter Berry Consultancy Pty Ltd, as part of the psychological assessment process. Please note that Hogan Assessments collects, processes and stores candidate information in the US.

APRA may also disclose personal information to other Australian or overseas entities, bodies or persons in certain circumstances, including where:

  • The relevant individual has consented to the disclosure
  • The relevant individual would reasonably expect APRA to disclose the personal information 
  • APRA is required or authorised to disclose the information under an Australian law

If you do not provide your personal information, it may affect APRA’s ability to consider your application in our recruitment selection, placement or onboarding processes. It may mean that:

  • You will be unable to apply for vacancies with us
  • APRA will be unable to contact you to advise you of your progress or any updates regarding the selection, placement or onboarding processes
  • You might be at a disadvantage against other applicants who have supplied this personal information at any other stages of the selection, placement or onboarding processes

This does not include the optional information used to perform functions associated with APRA’s Diversity and Inclusion Strategy.

Storage and security of personal information collected for the purposes of APRA’s recruitment and on-boarding activities

APRA stores personal information in compliance with its obligations under the Commonwealth Protective Security Policy Framework. The information is securely stored to prevent any loss, interference or misuse or unauthorised access, modification or disclosure. The reasonable steps APRA takes to ensure it complies with APP 11 to secure personal information include password protection and access privileges, audit logs and APRA policies relating to information management and acceptable use of information, as well as information technology.

Information collected by APRA to which the Archives Act 1983 applies will be dealt with in accordance with the provisions of that Act. APRA will retain the personal information of unsuccessful candidates for a minimum of seven years in accordance with its record keeping obligations, after which processes to securely delete the information will commence.

Access to and correction of personal information collected for the purposes of APRA’s recruitment and on-boarding activities

APRA’s Privacy Policy contains information about how an individual’s personal information can be accessed and corrected.

Security Clearances

All APRA staff (employees and contingent workers) require a security clearance to access Australian Government security classified resources (people, information and assets). Your Talent Acquisition Partner and hiring manager will advise you of your security clearance level required for your role.

By applying for a role with APRA, you provide informed consent for the collection, use and disclosure of your personal and sensitive information as outlined in this notice. Your informed consent will cover how APRA:

  • Collects your personal and sensitive information from other entities or private organisations;
  • Shares such information with other entities to assess your initial or ongoing suitability for access to official resources; and
  • Uses this information to determine your ongoing suitability for access to Australian Government resources.
